Draft, summarize, and plan
Writing email drafts, editing copy, summarizing provided text, organizing ideas, and preparing meeting notes usually need only a general AI.
PRODUCTIVITY / FIND BY GOAL
Start with work you genuinely repeat. Drafting, summarizing, and planning rarely need account connections; add email, calendar, or document access only when the task requires real data.
START WITH THE OUTCOME
Core, optional and skip choices come from this vertical's reviewed data.
Writing email drafts, editing copy, summarizing provided text, organizing ideas, and preparing meeting notes usually need only a general AI.
Add the relevant email or calendar connection only when the task must know what is in the inbox or on the schedule.
Connect a workspace or knowledge source only when the needed information is not already in the current files or context.
Move into an automation workflow when a task must coordinate email, calendar, documents, or another service.
DECISION TREE / NO AI API
Answer by outcome. The result is a static editorial recommendation.
Email drafts, copy edits, summaries of text you provide, planning, idea organization, and meeting outlines usually need only a general AI. If the job does not require live account data, there is no reason to begin with or a workspace connection.
Add email access when the AI must read a real inbox, calendar access when it must know the schedule, and Drive or Notion only when the work depends on those documents. Check the data scope, read and write permissions, and whether read-only access is enough.
Connecting email, calendar, Drive, Slack, Notion, GitHub, and CRM at once increases the permission surface and review burden. More access is not the same as more productivity.
